A six-part request

Keep the evidence attached to the exact change.

This invented example starts with an unavailable specified wire roll and a supplier-proposed alternate. It does not say the products are equal. It shows the minimum record needed for a responsible review.

Identity → requirement → evidence → interface → impact → disposition

A price or delivery advantage belongs in the record, but it cannot replace missing technical evidence or approval authority.

Pair 01 · identity and baseline

Write both products so another person can identify them.

Record manufacturer, product name, model or stock code, drawing or data-sheet revision, package quantity and traceability documents for the specified item and the proposed alternate. Then cite the purchase order, specification, drawing or approved schedule that defines the original requirement.

Pair 02 · evidence and interfaces

Compare characteristics; do not write “equivalent.”

Make one row for every controlling characteristic and cite the exact evidence used. For fence materials this may include wire geometry, material, coating, tensile or performance class, roll length, mesh opening, compatible clips or posts, handling and installation instructions. The requirement source determines the real list.

Return for clarification

If a characteristic is missing, conflicting or supported only by a sales claim, mark it “not demonstrated.” Do not silently convert a blank into a pass.

Pair 03 · impact and disposition

Follow the alternate into the rest of the project.

A different roll length can alter quantity and freight. Different wire or mesh can affect posts, clips, splices, tensioning, equipment, labor and maintenance. Record each affected document and the person responsible for revising it.

The example remains open because two evidence gaps are unresolved. That is a valid output. Government procurement sources support complete alternate-product data and authorized approval, but their contract clauses do not govern a private farm purchase.

Is the substitution request ready for disposition?

What is a material substitution request?

It is a traceable proposal to replace a specified product or material with a named alternate. It should identify the baseline, reason, evidence, interfaces, impacts and required decision.

Does “or equal” mean automatic approval?

No. The governing purchase documents and authorized reviewer determine whether the alternate satisfies the requirement. A supplier's statement alone does not create approval.

Which fence characteristics should be compared?

Use the actual specification or purchase requirement. Relevant rows may include material, geometry, coating, wire or mesh characteristics, roll length, compatible hardware, instructions and required test evidence.

Can a cheaper or faster product still be rejected?

Yes. Cost and lead time are commercial factors, but missing evidence, incompatible interfaces or an unmet technical requirement can keep the request open or lead to rejection.

Who should approve the substitution?

The person or organization granted technical and commercial authority by the project's contract, purchase order or internal process. The supplier, installer or this worksheet cannot invent that authority.

What changes after an alternate is accepted?

Update the affected specification, drawing, submittal, quotation, purchase order, materials list, delivery instructions and receiving criteria so the approved identity is consistent everywhere.
